Gemini vs ChatGPT for a Google Workspace team
Gemini already sees your Drive and Gmail. ChatGPT doesn't, but it isn't tied to Google either. Here is how a Workspace team should actually choose.
Gemini and ChatGPT solve different problems for a team on Google Workspace. Gemini lives inside Gmail, Docs, Sheets and Drive, and grounds answers in your own files. ChatGPT Business is a separate app with no built-in view of that data unless you connect it. Most Workspace teams should start with Gemini and add ChatGPT only where work outgrows it.
What is the real difference between Gemini and ChatGPT for a Google Workspace team?
The practical difference is not which model answers better, it is where each one sits and what it already knows. Gemini runs as a side panel inside Gmail, Docs, Sheets, Slides, Drive and Meet, and since late 2025 its Deep Research tool can ground an answer directly in a user's own Gmail messages, Drive files, Docs, Sheets, Slides and PDFs through a source picker in the Tools menu. ChatGPT is a separate app and web client. It can reach the same Google data, but only through Connectors that a ChatGPT Business admin sets up and that a Google Workspace admin has to separately approve through OAuth.
That one distinction decides most of the rest of this comparison. If the daily work already happens inside Gmail threads, Sheets models or Drive folders, Gemini's native grounding is the whole point of paying for it. If the work is drafting, research or brainstorming that does not depend on company files, that grounding buys a Workspace team very little.
Does Gemini cost less because we already pay for Workspace?
Gemini is no longer a separate add-on. Google folded it into the Workspace Business tiers, so what you get depends on which tier you already hold. Business Starter includes only a limited version (mainly the Gmail side panel and NotebookLM), at roughly $7 to $8.40 a user a month by pricing trackers. Business Standard and above include the full assistant across Gmail, Docs, Sheets, Slides and Meet, at roughly $14 to $16.80 a user a month for Standard and $22 to $26.40 for Plus, depending on annual or flexible monthly billing. Confirm the live price for your region in the admin console before budgeting.
ChatGPT Business runs the other way: a standalone per-seat price with a 2-seat minimum, currently around $20 a seat a month on annual billing or $25 billed monthly, after OpenAI cut the standard seat price by $5 a month on April 2, 2026. Neither price depends on the other, which is exactly why licensing a whole team for both tools at once gets expensive fast.
Which one keeps company data safer, and what should IT actually watch for?
Both vendors say business-tier use is excluded from model training by default: Google does not use Workspace content to train Gemini's foundation models, and OpenAI does not train on ChatGPT Business conversations, including content pulled in through a Google Drive, Gmail or Calendar connector. If a team disconnects a Google connector, any cached copy of that content is deleted from ChatGPT within 30 days.
The real gap is how each one gets switched off. Gemini has one control point: a Workspace admin can disable it for a specific Organizational Unit directly in the Admin Console. ChatGPT has two: an admin manages seats and Connectors inside ChatGPT's own admin panel, and a Google Workspace admin has to separately approve or revoke the OAuth scopes ChatGPT is asking for on the Google side. One more thing worth flagging to an IT-conscious team: since September 2, 2026, Gemini has been rolling out persistent custom instructions across Drive, Chat, Gmail, Sheets and Slides, and there is currently no admin setting to turn that behaviour off.
So should a Google Workspace team pick Gemini, ChatGPT, or both?
Start with Gemini if your team already holds a Business Standard licence or higher, since the full assistant is already switched on inside the apps people use every day and the grounding in your own files is real. Add a smaller group of ChatGPT Business seats only where there is drafting or research work that benefits from a separate, broader-access tool, rather than issuing it to everyone by default. Paying for both across the whole team from day one means training people on two interfaces and two admin consoles for work Gemini may already cover inside the apps they are sitting in.
